How to use PDFeX
Open the title you need.
Each guide is kept short so you can find the right action without reading through the whole page.
Open a PDF
- Open PDFeX.
- Select the folder button, or drag a PDF directly into the app.
- PDFeX opens the file on page 1 and loads pages as you move through the document.
Find text or numbers in a scanned PDF
- Select the search button, or press Ctrl+F.
- Type the number, word or phrase you need.
- Press Enter or select the search icon.
- If there is one exact result, PDFeX opens that page automatically. If there are multiple results, choose the page you need from the list.
Search several values at once
- Open the finder.
- Enter each value separated by a comma, such as 12345678, 48205537, invoice review.
- Turn on All to find every exact match across the PDF.
- Use the results list to open pages or extract matching pages into a new PDF.
Search only one area of each page
- Go to a page where the target text is visible.
- Open the finder and select the custom-area button.
- Draw around the area to search. PDFeX uses that same area across the batch.
- Use this when numbers, names or references always appear in the same part of the paperwork.
Include possible OCR matches
- Open the finder.
- Turn on Possible before searching.
- Review possible results when scans are faint, stamped, handwritten nearby or visually ambiguous.
OCR can confuse similar characters such as O/0, S/5 and Z/2, so possible matches are useful for poor scans.
Extract selected pages
- Tick the pages you want in the preview panel.
- Use the extract button in the preview panel, or the main toolbar extract action.
- Choose where to save the new PDF.
Reorder or delete pages before saving
- Use the up and down controls in the preview panel to move pages.
- Drag a page thumbnail when it needs to move a long distance.
- Use the red delete button to remove a page from the working document.
- Save the result as a new PDF or overwrite the original when you are ready.
Merge PDFs from File Explorer
- Select two or more PDF files in File Explorer.
- Right-click the selection and choose Merge PDFs with PDFeX.
- Review the order in PDFeX, then choose Merge & Save.
- The merged PDF opens automatically after it is created.
Convert a scanned table to Excel
- Open the conversion menu and choose Excel.
- Choose Scanned for image-based PDFs.
- Select the current page, selected pages or all pages.
- Use a custom area when you only need one table.
- Export and review the workbook before using it as a final record.
Convert to Word, JPG or PNG
- Open the conversion menu.
- Choose Word, JPG or PNG.
- Select whether to export the current page, selected pages or all pages.
- Choose the output folder or filename when prompted.
Make a scanned PDF searchable
- Open the conversion menu and choose searchable PDF.
- PDFeX runs OCR and adds a hidden text layer.
- When the file is finished, PDFeX switches to the searchable output automatically.
- Use the PDFeX finder to search the processed file.
Auto-orient pages
- Open the process menu.
- Choose Auto-Orient Pages.
- PDFeX checks scanned pages and rotates them upright where it can.
- Save the corrected PDF as a new file or overwrite the original.
Smart Split a batch
- Open Smart Split from the process menu, or configure it inside Workflow configuration.
- Create groups using words or phrases that identify each document type.
- PDFeX checks groups from top to bottom and puts each page into the first matching group.
- Run Smart Split to create separate PDFs for the matching groups.
Compress a PDF
- Open the process menu.
- Choose compress.
- Save the compressed result when PDFeX finishes.
Configure and run a workflow
- Open Configure workflow.
- Select the steps PDFeX should run, such as auto-orient, searchable PDF, Smart Split and compression.
- Choose whether the result should save as a new PDF or overwrite the original.
- Save the workflow, then press the workflow button when you want to run it.
Save as new PDF or overwrite the original
- Use Save as when you want to keep the original untouched.
- Use Overwrite original when you want the current file to be replaced with the corrected version.
- Only overwrite when you are sure the current result is the version you want to keep.
Troubleshooting
If something feels wrong.
PDF will not open
- Password-protected PDF: remove the password in the source application, then open the unlocked copy in PDFeX.
- Damaged or incomplete PDF: open the file in its original viewer and save a fresh copy before trying again.
- Unusual filename or location: move the PDF to a normal local folder and retry. PDFeX supports spaces and Unicode filenames.
Finder misses a result
- Check that the page is upright before using a custom selection.
- Use full-page search if the target value does not always appear in the same position.
- Turn on possible matches for faint scans, stamps or ambiguous characters.
- Search for the clearest visible word, number or short phrase.
Excel output needs checking
Digital PDFs usually retain structure more directly. Scanned PDFs require OCR, so review ambiguous characters such as O/0, S/5, I/1 and Z/2 before using the workbook as a final record.
File Explorer merge command is missing
- Close and reopen File Explorer after installing or updating PDFeX.
- Right-click two or more PDF files, not a folder or a single file.
- If the command is still missing, restart Windows and try again.
Report a problem or share feedback
- Select the feedback button in the bottom-right corner of PDFeX.
- Choose Problem or Feedback.
- Enter your reply email, subject and message.
- Attach files only if they are needed and safe to share.
Reports include the app area, app version, Windows architecture and a random installation identifier. Your PDF is never attached automatically.
Before contacting support
It helps to include:
- the PDFeX version shown in the window title;
- which feature you were using;
- the steps needed to reproduce the problem;
- the exact error wording; and
- whether the PDF is scanned, digital, encrypted or damaged.
Do not send private paperwork unless it is genuinely necessary and you are authorised to share it.
